Custom Profile Fields

Extend member profiles with your own fields — rider info, emergency contacts, certifications, or anything else your organization tracks.

The Custom Fields page is found under MEMBERS → Custom Fields in the admin sidebar. While fellos includes built-in fields for common data (name, email, phone, address), most organizations need to track additional information specific to their domain. Custom fields let you add any number of extra fields to member profiles, each with its own edit and view permissions and applicability by member type.

Field Types

When creating a custom field, you choose a field type that determines what kind of data the field stores and how it appears on the profile:

  • Text — a single-line text input, suitable for short answers like a motorcycle make/model or emergency contact name
  • Textarea — a multi-line text input for longer notes or descriptions
  • Dropdown — a predefined list of options (e.g., certification levels, t-shirt sizes). You define the options when creating the field.
  • Date — a date picker for dates like certification expiration or anniversary
  • Number — a numeric input for quantities, years, or other numbers
  • Checkbox — a simple yes/no toggle

Creating a Custom Field

  1. Click the + Field button at the top of the page.
  2. Enter the field name (this is the label members and admins will see).
  3. Choose the field type from the dropdown.
  4. If you chose Dropdown, add the available options.
  5. Set the Edit Permissions — choose which admin levels (and the member themselves) can edit this field.
  6. Set the View Permissions — choose who can see this field on profiles (All, Local, Hierarchy, or specific admin levels).
  7. Select which Member Types this field applies to. You can select all types or limit it to specific ones.
  8. Click Save.

Edit Permissions

Edit permissions determine who can fill in or change the value of a custom field. Options include:

  • Member — the member can edit this field on their own profile
  • Local — local admins can edit this field for members in their org
  • Org — org-level admins can edit this field
  • Club / Site — club-level and site admins can always edit custom fields

You can enable multiple edit levels. For example, a "Motorcycle Make/Model" field might be editable by the member, local admins, and org admins — so it shows badges for all three.

View Permissions

View permissions control who can see the field value when viewing a member's profile:

  • All — any logged-in member can see this field
  • Local — only members of the same organization can see it
  • Hierarchy — visible to members in the same org and parent orgs
  • Admin Only — only administrators can see the field
Tip

For sensitive information like emergency contacts, set the view permission to Local or Admin Only so the data isn't exposed to the entire organization. Let the member and their local admin edit it, but restrict who else can view it.

Member Type Applicability

Not every custom field makes sense for every member type. A "Rider Certification Level" field should probably only apply to Full Members, not to Prospects who haven't started riding yet. The Applies to setting lets you select which member types will see this field on their profile.

When a member's type changes (e.g., from Prospect to Full Member), any fields that now apply to their new type will appear on their profile. Fields that no longer apply are hidden but their data is preserved — so if the member reverts, the old value is still there.

Good to know

Custom fields appear in the "Additional Info" section of a member's profile, below the built-in fields. They are displayed in the order they were created. You can reorder them by drag-and-drop in the Custom Fields list.
